What is Remote Deposit Capture?
Remote Deposit Capture is a new technology with allows corporate customers to deposit checks electronically from their offices using a compact check scanning machine. Using the remote deposit capture machine, checks are scanned and the images are saved in an electronic image file. The scanned digital images are then transmitted electronically to Atlantic Capital Bank for posting and clearing. Atlantic Capital Bank accepts the deposit, posts the deposit to the appropriate account and assigns availability based upon a company’s availability schedule.

The Remote Deposit Capture Process
1. A Business receives payments by check in the mail or at their office.

2. The Business performs their normal Remittance Processing process. This process 
    includes opening the mail, data entry from the payment coupon / control document
    (application, form, invoice, etc.), data entry from the check (dollar amount, date,
    account number, etc.), and information uploads to the Accounts Receivables, Customer,
    and other databases.

3. Checks are then typically provided to the corporation’s treasury area where the Business
    prepares a deposit. This process typically includes counting the number of checks and
    adding the value of checks at least twice to ensure the deposit is accurate and balanced.

4. With Remote Deposit Capture, instead of physically going to the bank to deposit
    the checks, the Business can now scan the checks using a desktop scanner.

5. Once the check images are captured, an ACH file (for eligible items) and/or an image-based
    deposit is prepared. The business then transmits the deposit to the Bank using Atlantic Capital
    Direct.

6. The Bank receives the ACH file and / or image deposit, posts the deposit to the Business’s
    account and assigns availability based upon an agreed upon availability schedule.

Equipment Requirements
The basic requirements for Remote Deposit Capture include a PC, an internet connection, a Panini check scanner and Atlantic Capital Bank’s corporate banking program, Atlantic Capital Direct.  The Panini machine used, My Vision X, is the only scalable solution that provides a complete foundation for Check 21 initiatives. It delivers superior performance in critical areas such as image quality, MICR reading, and document handling.

What happens to the original checks?
Businesses using RDC shouldn’t destroy checks immediately until they are certain they have no risk relating to the item. Some business customers based their retention period on the completion of the monthly bank reconciliation, which means they would hold the checks for a minimum of 30 days to ensure all deposits are captured and are accurately reflected on their bank statement. Checks should then be shredded.
